Though
it is very little procedure to create the position hierarchy, it is
very useful and plays a vital role in typical procurement process in
the organization.
By
creating position hierarchy, we can see the below forms showing the
proper data according to the hierarchy.
- Purchase requisitions for my direct reports
- Purchase requisitions for all my reports
Scenario:
John is Head of ICT, Felix is a Manager who reports to John and Smith
is a technician who reports Felix. Being Head of ICT, John wants to
see what are the requisitions being raised by Felix and Smith. For
which, the forms “Purchase requisitions for my direct report” and
“PRs for all my reports” forms can be used by John. So, defining
the position hierarchy as depicted below, will enable John to access
the two forms comfortably.
John
(Head of ICT)->Felix (Manager ICT)->Smith(Technician ICT)
Create
John, Felix, Smith as three employees and assign the employees to
respective users in the user form. Select User>click relations to
link the users to employees.
To
create position hierarchy, you will need to create Jobs and
positions.
Creating
Job:
Create
a new job “ICT operations” under HR>common forms>Organization>
jobs form.
Creating
positions:
Go
to > HR>Common>positions> position form, create three new
positions “Head of ICT”, “Manager ICT”, “Technician ICT”.
For three positions you can assign the job as “ICT operations”
In
positions form, select the position “Manager ICT”, in the field
“Reports to position” enter “Head of ICT”. Similarly, select
the position “Technician ICT”, in reports to position field enter
“Manger ICT”.
Note:
By leaving the field “Reports to position” field empty, you are
notifying the system that the position directly reports to
organization.
Assign
the position to employees:
HR>common>Employees>Select
the employee “John” and click the button “Worker position
assignments” to assign the position to employee.
By
assigning the position o employees, setting up the hierarchy is done.
You can view the created position hierarchy by going to form
“position hierarchy” under HR>positions>Position hierarchy.
Notice
the “Show” tab in the action pane, which allows you change the
view either based on the positions or based on the works”
Looks
like a simple procedure, isn’t it? Yeah it is.
Now,
raise purchase requisitions as the users “Felix” and “smith”
and then log in as the user “John”.
Under
procurement and sourcing> Common> Purchase requisitions, open
the forms “PRs for my direct reports” and “PRs for all my
reports” to see the requisitions raised by “Felix” and “Smith”
Hope
you will like it:).
In
my next post, I am going to discuss about Bank reconciliation and the
problems in Bank reconciliation, which makes your control account not
match with the closing balance in bank reconciliation report.
